How The Check-In System Works

Guides for everyone: counter staff, supervisors, and admins. Tuesday, September 22, 2026 · Karachi.

For Counter Staff

Scanning guests at the door

You are the front line. Every guest shows a QR code (or reads out a PIC-XXXXXX code). Your phone tells you exactly what to do.

1. Log in on your counter phone

Open https://pashaictqr.production1.jugaar.ai → Staff Login → enter your credentials (or the one-click Staff button if enabled). You land on the Counter page.

Tip: tap “Download offline list” once — scanning keeps working even if WiFi drops, and pending check-ins sync later.

2. Scan the QR (or type the code)

Tap Start camera scan and point at the guest's QR. Camera dead? Type the code printed under the QR (e.g. PIC-8K2P4A) into the box and press Go. Typos like 0/O for Q are auto-corrected.

🟢 GREEN = GO

  • Guest is verified — shows their name + badge to give
  • Hand over the badge shown (e.g. GOLD BADGE — VVIP)
  • Tap CONFIRM CHECK-IN

🔴 RED = STOP

  • “Already checked in” — do NOT give a badge
  • Likely a shared screenshot or second entry attempt
  • Politely send them to the supervisor desk

🟡 YELLOW = NOT FOUND

  • Code not recognized — check for typos
  • Retry manual entry carefully
  • Still failing? Use manual check-in below

3. Manual check-in — VIPs, ministers, lost QRs

Some guests arrive without any QR: ministers escorted straight in, VIPs whose assistant holds the invite, or someone who lost their phone. Tap Manual check-in on the Counter page and enter:

  • Full name (required)
  • Company / organization
  • Category: pick VVIP VIP GOH or GENERAL — this decides the badge

The system creates the guest, checks them in instantly, and logs it as a walk-in so counts stay accurate.

For Supervisors

Watching the floor in real time

The live dashboard is your command center — open it on a laptop or tablet at the supervisor desk.

Live dashboard (/dashboard)

  • Total checked in vs pending — updates every 10 seconds
  • By category — VVIP / VIP / GOH / General bars show who's still outside
  • By company — e.g. how many of the Engro delegation have arrived
  • Search by name, phone, company, or code to find any guest instantly
  • Confirmed vs attended — see who RSVP’d but hasn't shown up

Manual check-in (lost QR)

Find the guest in the table (search by phone works best) → tap Check in → confirm. Use for registered guests whose QR won't scan. For brand-new walk-ins, staff can create them at the counter.

For Admins

Managing the whole event

Before the event: import, approve, email. During: monitor. After: export.

1. Import the guest list (/admin)

Drag in an Excel/CSV with columns like Name, Mobile, Company, Designation, Category. The system auto-detects headers (even messy real-world exports), shows a preview, and imports on your confirm. Every guest gets a unique QR + PIC-code. Imported guests land as PENDING approval.

2. Approve & assign tiers (/admin/guests)

Review pending guests, fix categories in bulk (e.g. company = Engro + designation CEO → VIP), then approve. Only approved guests can be emailed.

3. Send QR invitations (/admin/emails)

Filter recipients (by category, company, approval, or email status), pick a template, preview, send. Each email contains the guest's QR, their code, event details, and a Confirm Attendance link. Track sent / failed / confirmed in one place and resend to anyone.

4. Event day & after

  • Print badge sheets per category (/admin → Badge sheets)
  • Watch live attendance on the dashboard
  • Export CSV reports: guests, confirmations, check-ins, email status (/admin/reports)
  • Walk-in guests: create at the counter or in Event tools with instant QR

For Guests

Your QR is your ticket

What attendees need to know — no app, no printout required.

  1. Look for your invitation email from P@SHA — it has your QR and your code (PIC-XXXXXX).
  2. Tap Confirm Attendance in the email so organizers know you're coming.
  3. On event day, show the QR on your phone at the counter. Battery dead? Just read out your code.
  4. Staff hand you the right badge — that's it, you're in.

One QR = one entry. Forwarding a screenshot to a friend will not work — the second scan is blocked automatically.
